The current workflow
Trying music properly against picture usually means asking an editor to load each track into an NLE. Playing a video and a music app side by side is lighter, but repeated cueing, timing, level changes, and dialogue make it awkward almost immediately.

Yes. A shared project link lets collaborators listen and contribute without first becoming account administrators. The running order is shared; each person's star ratings remain private unless they deliberately copy and share them.
No. YouTube search is for creative reference and comparison. Any commercial use still requires the appropriate synchronization, master-use, publishing, and other clearances for that music.
